Complete guide to getting your NBI Clearance in the Philippines. Online application steps, requirements, fees, and how to use it for BPO employment applications.
NBI Clearance Guide Philippines: How to Apply and What It's Used For
The NBI Clearance is one of the most important documents you'll need when applying for employment in the Philippines โ especially in the BPO industry. Issued by the National Bureau of Investigation (NBI), it certifies that you have no criminal record or pending case on file with the agency. Here's everything you need to know.
What Is an NBI Clearance?
An NBI Clearance is an official government document certifying that the bearer has no criminal record or derogatory information in the NBI database as of the date of issuance.
It is one of the most widely required pre-employment documents across all industries in the Philippines, including BPO, banking, government, education, and healthcare.
Why Do Employers Require NBI Clearance?
Employers โ particularly BPO companies โ require NBI Clearance as part of background verification. BPO companies handle sensitive client data, financial information, and confidential records. Hiring employees with clean records protects:
- Client data and business confidentiality
- The company's reputation and trust with overseas clients
- Workplace safety and integrity
ShoreAgents requires NBI Clearance for all new hires as a standard pre-employment requirement.
How Long Is an NBI Clearance Valid?
An NBI Clearance is valid for one year from the date of issuance. If you're applying for a new job, check that your clearance is still valid. If it has expired, you'll need to renew it.
How to Apply for an NBI Clearance (Online Process)
The NBI has transitioned to a primarily online application system. Here's the step-by-step process:
Step 1: Register Online
Visit clearance.nbi.gov.ph and create an account using your email address.
Step 2: Fill Out the Application Form
Log in and complete the online application:
- Full name and personal information
- Date of birth, address, civil status
- Employment purpose (indicate "Employment" when applying for a job)
Step 3: Choose Your Processing Center
Select your preferred NBI satellite office or processing hub. Centers are located across the Philippines โ choose the one most convenient for you.
In Pampanga, you can visit:
- NBI Pampanga Regional Office in San Fernando City
- Other accredited processing centers or satellite offices
Step 4: Select Your Appointment Date
Book your appointment date at your chosen center. Appointments fill up fast โ book at least 1โ2 weeks in advance.
Step 5: Pay the Fee
Payment options include:
- Online payment (credit/debit card, GCash, Maya, 7-Eleven, Bayad Center)
- Over-the-counter payment at partner payment centers
Current NBI Clearance Fee: โฑ130 for the clearance, plus delivery fee if opting for delivery (โฑ130โโฑ170 additional depending on location)
You can also opt to pick up at the NBI center to avoid delivery fees.
Step 6: Appear at the NBI Center on Your Appointment Date
Bring:
- A valid government-issued ID (PhilSys, UMID, passport, driver's license, voter's ID, etc.)
- Your confirmation/transaction reference number from the online application
At the center:
- Your biometrics (fingerprints and photo) will be captured
- You'll undergo a name check against the NBI database
Step 7: Receive Your NBI Clearance
If your name has no "hit" (no criminal record or derogatory info): Your clearance is typically released on the same day.
If your name has a "hit" (name match with someone on record): This doesn't necessarily mean you have a criminal record โ it may just be a name match with a different person. Your case will be reviewed, which can take 5โ15 additional working days. You'll receive a Quality Control (QC) release date. Once cleared, your NBI document will be released.
What If You Have a Pending Case or Record?
If the NBI database has an active record associated with your name after investigation, the NBI Clearance will reflect this. Employers will be notified of any pending cases. This may affect employment eligibility depending on company policy and the nature of the case.
If you believe a record is erroneous (e.g., mistaken identity), you can request a hearing at the NBI for clarification.
Delivery Option
The NBI now offers a home delivery service for your clearance after biometrics processing. This is convenient if you don't want to return to the NBI office for pickup. There is an additional delivery fee. Delivery typically takes 5โ7 business days.
Tips for a Smooth NBI Application
- Book early โ Appointment slots at popular centers like San Fernando fill quickly
- Bring multiple valid IDs โ If your primary ID isn't accepted, having a backup is helpful
- Check your application details โ Errors in your name or birthdate can cause delays
- Arrive a few minutes before your appointment โ Bring your confirmation number ready on your phone
- Get it before you apply for jobs โ Clearance processing takes time; don't wait until you have a job offer to apply
